iBC Healthcare is a leading Health and Social Care provider in the Midlands, delivering support to hundreds of individuals with learning disabilities, autism, mental health needs, and complex care requirements. Operating across 14 locations, iBC Healthcare is committed to delivering reliable, high-quality care while maintaining operational efficiency across its services.
The challenge
iBC Healthcare approached Care Hires during a period of increased workforce pressure caused by Covid-19. Their organisation needed a way to gain control over their external workforce while maintaining a consistent standard of care across multiple locations.
The initial review revealed several operational challenges common across many care providers. Staff relied on traditional methods such as phone calls, emails, and manual coordination to manage temporary staffing needs. These processes consumed significant administrative time and created unnecessary costs.
Because staffing requests were managed independently across different teams and locations, inconsistencies developed in both staff quality and reliability. iBC also faced limitations due to reliance on a small group of agencies, which reduced flexibility and limited access to better-performing alternatives.
Reducing agency costs was also a key business priority. Management recognised that controlling workforce spending would allow further investment into improving care infrastructure and service delivery.
How Care Hires helped
Care Hires implemented a centralised workforce management platform that transformed the way iBC Healthcare managed agency staffing.
By bringing all agencies onto a single digital platform, iBC gained visibility and control over their staffing operations. This centralised system streamlined communication, simplified booking processes, and reduced the administrative burden across teams.
Care Hires conducted a detailed review of the agencies currently used by iBC Healthcare. Through this process, new agencies were identified that could deliver equal or improved levels of service at lower costs. This information was also used to renegotiate better rates with selected existing agency partners.
The iBC team received full training on the Care Hires platform, enabling them to manage all temporary staffing bookings through one easy-to-use system. This significantly reduced time spent coordinating staffing and improved workforce reliability across all locations.
The platform delivered 100% shift fulfilment, representing a major improvement over previous staffing arrangements.
Operational efficiency improved further through automation and consolidation. By saving approximately five minutes per shift through improved booking workflows, iBC Healthcare achieved significant time savings across their workforce operations.
Invoice consolidation into a single payment process also reduced administrative workload and simplified financial management.
The results
Following implementation of the Care Hires platform, iBC Healthcare achieved measurable improvements across operational performance and cost control.
The organisation successfully achieved 100% shift fulfilment, ensuring all required staffing shifts were consistently filled across their services.
Administrative efficiencies delivered substantial financial savings. By improving staffing workflows and consolidating invoicing processes, iBC Healthcare saved over £21,000 annually, including:
- Over £10,000 saved annually on shift posting
- Over £11,000 saved annually on invoice processing
Additional improvements included:
- Reduced reliance on underperforming agencies
- Identification of new agencies delivering improved service levels
- Renegotiation of agency rates for better cost control
- Improved reliability and consistency of agency staff
- Greater visibility across workforce operations
These results provided iBC Healthcare with improved financial control and the operational confidence needed to support ongoing service growth.
